Integrated Financial Management and Procurement System (IFMS)

The new IFMS will shortly be introduced in HSE Mid West Region. This system will significantly enhance how we handle finances and procure goods and services across the region. Work has been ongoing with a project team in place.

What is IFMS? IFMS is a new national system that will streamline our finance and procurement processes, making them more efficient and standardised. This system will impact many areas of our work, even for those who may not have direct involvement in finance or procurement.

Key Changes to Expect:

1.Updated Processes: There will be new standard processes for finance and procurement.
2.New Ways of Working: New operating structures that aim to improve collaboration and efficiency.
3.Shared Services Model: To allow us to centralise certain functions, promoting better service delivery and resource management.

Why is this Important? The system will enhance financial transactions and procurement management by:

•Improving daily financial operations, such as invoices, payments, budgeting, and forecasting.
•Supporting strategic goals through better cash flow management and resource allocation.
•Streamlining the purchasing process, making it easier for staff to access necessary goods and services.

Who Needs to Be Informed? While everyone will benefit from the new system, specific teams and individuals will have greater involvement, particularly those who:

·Receive goods or services from suppliers.
·Handle invoices or purchases for clients and patients.
·Manage financial transactions, budgets, and reporting.

We kindly request that all staff engage with the project team, as it is important for meeting key milestones in the national rollout plan. Please help ensure that all staff are informed and respond to the project team’s requests in a timely manner. Thank you for your cooperation.

In the coming weeks, we will keep you updated with more information, training sessions, and resources to support this transition. For more information contact Micheal Gleeson Project Lead at HSEMW.IFMSPMO@hse.ie
